Automatic discounts can make a rate appear lower than intended when several promotions overlap or apply to dates with different demand. A percentage rule may be simple to configure and difficult to predict across room types, channels and booking windows. The aim of a review is to know which reservations qualify, what final price appears and who checks that the discount still serves its purpose. For the wider operating context, see hotel owners | hotel operations | the Feathers Hospitality approach.

Create a map of active rules

List campaign, rate plan, eligible room, dates, booking window, channel, discount base and end date. Include automated loyalty, mobile, advance-purchase, package and partner rules. A promotion no one owns can remain active beyond its intended period.

Record whether the discount applies before or after other reductions and which price it references. The label “10% off” is ambiguous if channels calculate it from different bases. Keep a copy of approved terms and system configuration for later comparison.

Test combinations before publishing

Build a small test matrix with sample dates, room types, occupancy and channels. Include a booking that qualifies for one offer, two offers and none. Confirm final payable rate, cancellation terms and displayed savings. Test desktop and mobile presentation, including a date that crosses the promotion boundary.

Check currency, taxes and package components in the result. Do not infer the display from the setup screen; use the guest-facing flow or a supported preview. If systems do not permit a combined-rule test, document the limitation and seek a safe staging method.

Examine demand and date effects

A discount that works on a quiet Tuesday may unnecessarily reduce price on a festival weekend. Compare pickup, remaining inventory, cancellation patterns and expected demand by date before expanding a rule. A property-wide discount can create a lower price precisely where demand does not need help.

Separate reservations that appear incremental from those that may have booked at another rate. Attribution does not prove causality. Use a limited test or a conservative assumption and state uncertainty when estimating the promotion’s effect.

Check margin and operational capacity

Calculate the final amount after discount and relevant commission, payment and package costs. Confirm the result remains compatible with any internal contribution threshold and that the property can deliver included services. A discount can sell more rooms while increasing workload or displacing higher-value bookings.

For packages, verify component availability on all eligible dates. If breakfast or an activity has limited capacity, ensure a room promotion does not create commitments the department cannot honour. Revenue and operations should approve together where the offer affects service delivery.

Make rules legible to guests and staff

State eligibility, dates, booking conditions, cancellation terms and what is included. If a promotion is applied automatically, explain when the displayed price reflects it. Ensure reservations and reception can explain differences without relying on unpublished configuration details.

Clear offer information also reduces avoidable disputes. The European Commission’s accommodation-booking information is a useful reference for reviewing presentation, but specific legal obligations depend on the offer and applicable rules. Seek qualified advice where a contract or consumer-law question is material.

Monitor, expire and learn

Set an owner, review date and expiry at launch. Track number of qualifying reservations, cancellations, final rate, channel mix and contribution against a baseline. Review exceptions and guest questions; unexpected combinations often reveal a configuration problem rather than a demand insight.

After the end date, verify the rule is inactive in every relevant system and channel. Document what changed and whether future promotions need a different scope. An automatic discount should have an explicit purpose and a clear stop condition.

Frequently asked questions

Can discounts be combined automatically?

That depends on the booking system and configuration; test the actual guest-facing result before activating overlapping rules.

Should every date receive the same automatic discount?

Only if demand, inventory and commercial objectives support it; date-level review often reveals different needs.
