A pre-arrival message is clear when a guest can answer the next practical question without guessing or sending another email. Connect it to the management approach operational platform team.
Clarity is not the same as sending more text. A long welcome note can bury the address, entrance, after-hours check-in or help contact that matters today. Measure whether the guest can act and whether the operation can deliver what the message promises.

Check five arrival questions
Can a guest find the exact address and entrance, check-in time and after-hours procedure, relevant parking or transport instructions, access conditions and a working contact for help? If an option requires notice, state the deadline and what happens if it is missed. Avoid “contact reception” when reception is not staffed overnight.
Structure for a phone screen
Put the time-sensitive instruction first. Use descriptive labels, short paragraphs and direct links. Separate essentials from optional local suggestions. For a temporary entrance or altered check-in time, repeat the affected instruction and explain why. Welcoming language should not obscure the next step.
Measure confusion from operating signals
Track questions received after the message, corrections, failed arrivals and staff time spent repeating instructions. Ask colleagues unfamiliar with the property to locate details during a short usability check. An optional guest question can add feedback, but selective response rates are not a complete measure of comprehension.
Collect only what the service needs
If guests share arrival time or an assistance request, explain the purpose and who will use it. Do not ask for medical details when a practical preference is enough. Use approved systems and retention rules. GDPR principles include purpose limitation and data minimisation; operational convenience alone does not justify collecting extra personal information.
How to put this into practice
For each barrier, record the journey point, observed condition, missing information, temporary workaround and permanent action. Ask someone outside the initial inspection to test the proposed solution. If work is required, explain what is and is not available while it takes place. Update website, booking messages and staff instructions when the physical space changes. After a stay, invite the guest to identify a barrier not described and convert that observation into an operating improvement. Avoid retaining personal details that are not needed to fix the service. Review whether the written promise matches what the next guest will actually encounter.
